BWSL Meeting Minutes

I –Roll Call:

All teams had representation.  Introductions were made and guests were welcomed.

 

II – Communication Reports from Board Members:

            A.  Vice President: Jennifer Reeves:

1.      Rainouts:  4/27/08 will be the make up date for games that were cancelled on 2/17/08.  If there is another rain out, it will be made up on 5/4/08.  If there are further rainouts, there will have to be double headers.

2.      Stats:  Teams were reminded to email Jenny by Monday or Tuesday the following information (even if there was no score or your team lost):

·         Final score

·         Name(s) of goal scorers

·         Name(s) from assists

 

B.     Secretary:  Jean Ansourian: nothing to report.

 

C.     Treasurer:  Trudy Pitters:

1.      The BWSL account is reportedly in good standing. 

2.      State registration fees have been paid, but the check has not been cashed yet.

3.      The BWSL has registered with the IRS as a tax-exempt organization.  This will allow us to accept charitable donations.  There are some forms that need to be completed and mailed out and some fees will have to be paid.

4.      The BWSL needs to file with the state to get a tax-exempt number.

5.      The BWSL tournament from 2/2/08 was successful.  It is estimated that $1300 was earned.  The profit made from selling refreshments was minimal. 

6.      Online registration appears to be going well.  At the meeting, Trudy received the information of how to access the PayPal account so she may monitor the status.  Theresa needs to be notified if there are any errors or duplications on registration.  All roster information needs to be sent to Theresa.  Theresa needs to double-check the roster versus the list of who has registered to ensure that everyone on the roster has paid.

 

D.    Registrar: Theresa Mujica:

1.      A player who is under 19 years of age registered on the Fury.  This is against the rules of BWSL, which states that a player must be at least 19 years of age. This player played in the first game of the season.  Theresa was not notified of the player being registered.  There are different forms required for an under 19 player as they are considered a youth.

a.        In the future, Theresa needs to be aware of any registration issues.  No one under age 19 is allowed to play in any BWSL games. 

b.      We need more information from FSSA as to why our league requirements are 19 years old. 

2.       Photos for player pass cards need to be sent in a jpeg format.

3.      There is a $5 fee for lost pass cards that need to be re-created.

 

E.     FSSA Liaison: Heather Aguilar: absent

 

F.      Referee’s Liaison: Marie : absent

 

G.    Games Rules Chairperson: Debbie Chin: absent, but sent a report:

 

1.      Positive feedback was given regarding the referees from Game 1.

2.      Some referees are not marking the score on the game sheet and are not giving back passes.  Each game sheet should have the following items notated:

a.        final score

b.      which players scored

c.       clearly printed names of all 3 referees

d.       notation of any yellow or red cards issued

e.       the white sheet gets returned to Jenny and each team keeps a copy of both teams game sheets.

                                                                                                  i.      Referee’s Liaison is requested to review the above requirements with the referees.

3.      Park Passes:  each team received one pass for each player registered on their team.  If extra passes are needed, contact Theresa.

4.      Fees:  Concern was raised over the per player cost this season of $62.  The league may be collecting more money than it needs.  What will be done with the extra money that is collected?  Ideas were discussed including prizes, more activities at Fun Day, and lower costs for the next season.  There was a suggestion to end the Spring season with a tournament instead of a Fun Day and have BWSL teams entered in the tournament for free.

a.       There needs to be an agenda item for the next meeting to follow up on this.  The following information will be required by the next meeting:

                                                                                                  i.      What is the exact amount of money collected from registration for the Spring season?

                                                                                                ii.      What are the exact costs for the entire Spring season?

                                                                                              iii.      What is the difference between the costs and the money collected?

                                                                                              iv.      What will be done with the surplus money?

 

H.    Arbitration and Discipline Chairperson: Lauren Johnson: absent

 

I.       Marketing, Growth and Promotions Chairperson: vacant

1.      This position needs to be filled.

 

 

III – Unfinished Business: 

            A. Coed League:

1.      The Spring Coed league was cancelled due to a lack of teams. 

2.      A proposal was made to have coed pick up games on Tuesdays instead.  The cost to rent the field is $20/hour.  The following was agreed upon:

a.       BWSL will rent the field from 7pm-9pm each Tuesday from 2/26/08-4/29/08.

b.      Cost will be $5 to play. 

c.       All who wish to play must sign a waiver. 

d.      Play will be on a first come, first served basis and there will be a cap on number of players.

                                                                                                              i.      If there are 24 players or less, there will be one 11 v. 11 match.

                                                                                                            ii.      If there are 25 to 32 players, there will be two 7 v. 7 matches. 

                                                                                                          iii.      No more than 32 players are allowed to play. 

e.       All players must bring a light and a dark colored shirt.

f.       Theresa will be present and will be in charge of organizing.

g.      There will not be any referees.

h.      Jean will send an email to team reps with the above information.  Bania will send an email to all players who have registered who she has an email address for to spread the word.   

 

IV - New Business

A.    Online registration:

1.      We need to determine if the online registration process is working or not for upcoming seasons.

2.      Additional specific team costs could be added into the online cost. 

i.e.: Team A’s team fee is $62.  Team A is ordering new uniforms at a cost of $20 per player.  When a player registers online for Team A, the cost would be $82.  The league would issue the additional money collected ($20 from each player) to the team manager who could then purchase the uniforms. 

 

B.     Email communication:

A concern was raised over conflicting information being sent out about league business by different individuals.  Some say it is confusing getting emails from so many people, and sometimes different people are sending different information.  A proposal was made to have league information only be disseminated by designated individuals such as only the President and Vice President.   No consensus was reached on this item.
